The role, providing support to and reporting directly to the Head of the “Administration, Finance and Control, General Affairs and Assignments” Operational Unit, works within the Foundation’s administrative structure. The position is responsible for recurring and project-based activities in the areas of secretarial and general affairs, and provides operational support for basic accounting activities.

Main duties and responsibilities

General affairs and administrative secretariat

  • Operational support to statutory bodies (Board of Directors and Board of Auditors)
  • Organisation and updating of paper and digital archives
  • Management of correspondence and operational communications
  • Handling of secretarial and organisational support activities

Operational support to the Foundation

  • Support to the organisation’s operational needs, primarily assisting the Presidency and the General Management
  • Logistical and organisational support for meetings
  • Periodic data provision to institutional stakeholders

Administrative and accounting support

  • Support in the management of basic day-to-day accounting activities, in collaboration with the external company responsible for outsourced accounting processes
  • Cooperation with the labour consultant in the management of collaborators and external professionals
  • Active participation in the internal Competence Center overseeing the ERP system Ad Hoc Infinity Zucchetti
  • Filing and organization of accounting and administrative documentation
Knowledge and skills:
  • Experience in the use of accounting and management software (knowledge of the ERP system Ad Hoc Infinity Zucchetti will be considered a plus)
  • Good command of the Microsoft Office 365 suite (knowledge of Copilot will be considered a plus)
  • Good knowledge of basic accounting principles
  • Good command of the English language
Requirements
  • Diploma in Accounting or a degree (Master’s or equivalent) in economics, finance or related fields
  • At least 7 years of experience in similar roles, preferably gained in structured organizations
